FAQs about data
What data does EAPM ask for?
When you apply to be an EAPM member (or renew your membership), we will ask you for some personal and professional information including your name, affiliation, city, country and email address. These data are required for registration as an EAPM member. You can provide additional data on an optional basis when you use our services.
How does EAPM use my data?
We will use the data you provide to: administer your EAPM membership, send you information related to EAPM including our meetings and services, send you our society journal, notify you about important changes to the EAPM member area website, and enable you to use our EAPM member networking services.
How does EAPM process my data?
Our main field of activity is fostering psychosomatic medicine, consultation-liaison psychiatry and integrated care. We use experts to help us with the technical processing and maintenance of our website, databases, payments and mailing. These external service providers are obliged to comply with data protection regulations and they are listed below:
WildApricot hosts our member area website and member databases. Information about how WildApricot secures data can be found at www.wildapricot.com/data-protection. When you download our member app WildApricot will provide you with, and ask you to agree to, its privacy policy.
Stripe Payments Europe Limited (SPEL, 1 Grand Canal Street Lower, Grand Canal Dock, Dublin, D02 H210, Ireland) processes direct debit and credit card payments for us. If you choose to pay your annual membership fee in this way, you will be directed to their site (please note, you can also pay your membership fee by bank transfer).
Gebruederpixel (www.gebruederpixel.at) assists us with the design and maintenance of our website and databases.
Mailchimp (www.mailchimp.com) helps us to send you newsletters.
Groups.io (www.groups.io) provides our group email services.
Who else does EAPM share my data with?
We will share your contact details with our journal publisher, Elsevier, so that you can receive the Journal of Psychosomatic Research.
The member area of our website allows EAPM members to find each other. When you become an EAPM member, other members will be able to see the following information about you in your profile: first name, last name, position in EAPM, affiliation, email address, country, city, EAPM group participation, speciality, discipline, topics of interest, EAPM fellowship. You can change which of your information is visible by logging in to the member area and adjusting the ‘details to show’ section of your profile.
We will not sell, transfer or otherwise disclose your information to any other third party without your agreement, unless such disclosure is required by law or other court order.
How do I change the data EAPM holds about me?
After opening your member account, you can store and manage your contact and personal details in your profile, using the member area website or the member app. If you become aware that the personal information that we hold about you is inaccurate, you may change this yourself or request that we amend it. Any requests should be made in writing to contact@eapm.eu.com. You can also unsubscribe from our newsletters and group emails at any time.
How long will EAPM keep my data?
We do not collect more information than we need to fulfil our stated purposes and will not retain your data for longer than is necessary. You can ask for your data to be erased when there is no longer an ongoing need for their processing. If you do not renew your membership, we will archive your data at the end of the year. Your data will then be completely deleted from the WildApricot system within two years.
What else do I need to do?
We take appropriate technical and organisational measures to ensure the protection of your data. To help us protect your data, please remember to log out of your member account each time when you have finished using it. If we hold personal data about you, your principal rights regarding data protection are to: access, rectification, erasure, restricted processing, objection to processing, data portability, complaint, withdrawal of consent.
